How to organise a company picnic: a step-by-step guide

Organising a company picnic seems simple - until you start counting guests, attractions and weather options. This guide walks you through the whole process, from the first decision to the site clean-up.

1. Define the goal and character

Before you call suppliers, answer one question: why are you holding this picnic? Team integration, a family day, celebrating success or employer branding - the goal drives the attractions, location and tone of the whole event.

2. Set the budget and guest numbers

The number of participants is the foundation of the budget - it determines the scale of catering, attractions and facilities. Set a range and priorities: what matters most, food, attractions or setting.

3. Choose a location and date

Company grounds, a park or a lakeside venue - each has its pros. Check access, parking, power and sanitary facilities. Plan the date in season (May–September) and well ahead, as the best slots go fast.

4. Plan attractions, catering and schedule

Match attractions to your guests (separately for adults and children), plan catering without queues and build a day scenario with a welcome, peak and finale. Don't forget a weather plan B and safety.
